- "Account": means collectively the personal information, Payment Information and credentials used by Users to access Material and/or any communications System on the Website.
- "Content": means any text, graphics, images, audio, video, software, data compilations and any other form of information capable of being stored in a computer that appears on or forms part of this Website.
- "Cookie": means a small text file placed on your computer by Coach Lead Limited when you visit certain parts of this Website. This allows us to identify recurring visitors and to analyse their browsing habits within the Website.
- "Data": means collectively all information that you submit to the Website or during the course of professional coaching services. This includes, but is not limited to, Account details and information submitted using any of our Services or Systems. This definition incorporates the definitions provided in the UK GDPR.
- "Sehaam AI™": refers to the proprietary AI Digital Twin and coaching interface powered by the Google Vertex platform.
- "Service": means collectively any online facilities, tools, services or information that Coach Lead Limited makes available through the Website either now or in the future.
- "System": means any online communications infrastructure that Coach Lead Limited makes available through the Website either now or in the future. This includes, but is not limited to, web-based email, message boards, live chat facilities and email links.
- "User" / "Users": means any third party that accesses the Website and is not employed by Coach Lead Limited and acting in the course of their employment.
- "Website": means coachlead.co and any sub-domains (e.g. LearnWorlds school sites) unless expressly excluded by their own terms and conditions.
Without limitation, any of the following Data may be collected:
2.1 Name, Job Title, and Profession.
2.2 Contact information such as email addresses and telephone numbers.
2.3 Learning Data: Coaching reflections, course assignments, and CPD progress.
2.4 AI Interaction Data: Transcripts and inputs from your interactions with Sehaam AI™.
2.5 Financial information such as credit/debit card numbers (processed via Stripe).
2.6 IP address, web browser type/version, and operating system (automatically collected).
2.7 A list of URLs starting with a referring site, your activity on this Website, and the site you exit to (automatically collected).
2.8 Cookie information.
2.9 Mobile App Data: If you use the Leaders Who Coach™ App, we may collect technical data including device type, operating system version, and unique device identifiers to ensure content interoperability and security. If you opt-in, we may process data for Push Notifications to send programme reminders and Sehaam AI™ updates.
3.1 Any personal Data you submit will be retained by Coach Lead Limited for as long as you use the Services and Systems provided. Coaching records are retained for up to 6 years for professional indemnity purposes. AI transcripts are stored for 3 years to support your CPD learning history.
3.2 Storage & Security: All personal Data is stored securely in accordance with the principles of the UK GDPR and the Data Protection Act 2018.
3.3 AI Interaction & Sehaam AI™: Interactions for leadership guidance are processed via a private deployment of Google Vertex AI. Your data is encrypted and is not used by Google to train public AI models. For CPD-certified courses, LearnWorlds AI is used for initial assignment scoring.
3.4 Purpose: Data is used for internal record keeping, improvement of our methodology, and (where consented to) the transmission of promotional materials. We may use anonymised, de-identified data to refine the Sehaam AI™ knowledge base and update course materials to ensure the methodology remains current.
Coach Lead Limited employs the services of other parties for matters including payment handling, search engine facilities, and AI delivery. The current essential sub-processors include:

5.1 Coach Lead Limited may, from time to time, expand or reduce its business. Data provided by Users will, where it is relevant to any part of the business so transferred, be transferred along with that part and the new owner will be permitted to use the Data for the purposes for which it was originally supplied.
5.2 In the event of such a transfer, you will be contacted in advance and given the choice to have your Data deleted or withheld from the new owner.
6.1 You have the right to access, correct, or erase your personal Data. You may view or amend your Account Data at any time.
6.2 Human-in-the-loop: You have the right to request a manual review by a human moderator of any automated decision (such as an AI-generated assignment score) within 7 days of receiving the result.
Coach Lead Limited reserves the right to change this Privacy Policy as required by law or as our services evolve. Any changes will be immediately posted on the Website and you are deemed to have accepted the terms on your first use of the Website following the alterations.
